What a clearing account is in QuickBooks

Date

A clearing account in QuickBooks is not a bank account.

It’s a temporary parking spot. Money rolls through when the real bank side isn’t ready yet — Undeposited Funds, a transfer that left one account before it landed in the other, a card batch that settles tomorrow. Useful. Dangerous when it becomes a junk drawer.

The rule owners feel in their gut: what goes in has to come out. Fast.

If a balance sits for weeks, your books are lying about where the cash is. P&L can look fine while the balance sheet is a mess. We see it with shop owners and field businesses all the time — “we transferred it,” “it’ll clear,” and three months later nobody remembers which job that pile of money belonged to.

You don’t need a button-by-button QuickBooks lesson. You need someone who notices when a parking spot turned into a parking lot. Review clearing accounts weekly. If something’s older than a few days, finish the other side or undo it and do it right.

Clean clearing accounts make monthly bookkeeping boring in the best way. Messy ones steal nights and trust. If your holding accounts feel like a second job, we handle that. Want them straightened out? Get in touch.
