Your bank feed is not a bank rec

Date

Your bank feed feels productive.

Transactions roll in. You tap Accept. QuickBooks looks busy. You feel caught up.

That is not a bank reconciliation.

A bank rec is the boring, powerful moment where you ask one question: does the cash in QuickBooks match the cash at the bank on this date? Checking. Credit cards. That PayPal you pretend isn’t a bank. If those numbers don’t match on purpose, you don’t really know what you can spend.

Here’s the owner pain we see all the time with HVAC crews, landscapers, contractors, and shop owners in the $500K–$2M range: the feed looks clean, the P&L looks fine, and then payroll week hits and the “cash” isn’t there. Or a vendor calls and you’re scrambling. Or your CPA asks for year-end and the balance sheet is a mystery novel.

Accepting the feed is filing paperwork. Reconciling is proving the story.

You don’t need a QuickBooks tutorial. You need someone who treats your cash like the jobsite — measure twice, cut once. Once a month, every account that moves money gets a real match to the statement. Difference = $0.00. Ending balance matches. Then you sleep.

Your books should not feel like a second job. If bank recs are the thing that keeps slipping, that’s exactly the kind of work monthly bookkeeping is built for. Want a straight talk about your cash picture? Get in touch.
